Showcase Code of Conduct
Travel South Showcase adheres to a strict code of conduct to establish minimum expectations of behavior for individuals attending Showcase. By submitting a registration application for the show, each delegate acknowledges the following:

- Delegates agree to abide by the standards of the conduct contained in the code and Showcase policies
- As a delegate, I will speak up using the resources listed in the code if I am in doubt as to the proper course of conduct or if I become aware of possible violations of our standards or the law.
Email Opt Out Policy
When you submit personal information to us through the registration process, you will be given an opportunity to opt out at the time of submitting your personal information. Unless you opt out, you may be added to our list of users who will receive promotional and marketing communications from us and our sponsors, contact list purchasers and other third parties. You may opt out of receiving promotional and marketing communications from us, our sponsors, contact list purchasers and other third parties.
If you initially elect not to opt out and later decide that you would like to opt out, please email Travel South USA. Please keep in mind that although Travel South USA strives to update our mailing list database as frequently as possible, it may take several days to process email requests and weeks to process postal mail requests, during which time your information might be communicated to another party in connection with a mailing list. Additionally, you should be aware that any mailing lists that have been provided to third parties prior to your election to opt out cannot be retrieved by Travel South USA, and you cannot retroactively opt out with respect to such third parties. As noted above, however, when we do provide mailing lists to third parties, we enter into agreements with such parties limiting use of the lists.
Event Photography/Videography Policy
By registering for and/or attending International Showcase, delegates understand and agree that they may be photographed, filmed, or videotaped and hereby give Travel South USA and those acting with its permission to take pictures and/or recordings of such delegates, and grant the perpetual right to use their name, voice, photograph, portrait, likeness, and biographical information (collectively, “Likeness”), without compensation, for broadcast or exhibition in any media now known or hereafter devised and to put the finished pictures/recordings to any lawful use without limitation or reservation.
Delegates hereby waive, release and forever discharge Travel South USA from and against any and all claims or actions arising out of or resulting from any use of their Likeness.
Delegates who wish to opt-out of this waiver must complete the Media Opt-Out Form and bring it and the required photo to the registration desk on-site.
No Conflicting Events Policy
Showcase participants may not organize or sponsor any activities that conflict with the official Showcase program or sponsored events during official conference hours—this includes all sponsored lunches and evening events, not just business appointments.Our partners have made significant investments in specific parts of the Showcase program — Showcase as we know it would not be the same without them, and we want all delegates to be able to enjoy this annual, one-of-a-kind experience without distraction.
Refunds and Cancellations
- Showcase accepts requests for refunds or cancellations made in writing on company letterhead or via email to Travel South USA. Requests may be faxed to 404.231.2364 or emailed to Travel South Showcase.
- Refunds are not available for late arrivals, unused services, unattended events or early termination of attendance.
- For cancellation due to illness of the registrant, please supply a physician’s statement to receive a refund.
Refund and Cancellation Schedule
- 100% refund: written request received prior to September 2, 2024
- 50% refund: written request received between September 3 – October 2, 2024
- There are no refunds on requests received after 5 p.m. on October 2, 2024
Mobile Phones and Hand-held Devices
The volume for all mobile phones and handheld devices should be turned off during seminars, appointments and social events. Devices may be used during Marketplace in conjunction with the Travel South Showcase Marketplace App or for general business needs, but phone calls and any app that generates sound should only be used in the International Marketing Village Lounge or outside the Exhibit Hall.
Miscellaneous
- Smoking is permitted in designated areas only.
- Day passes, event passes and partial registrations are not available for sale in any category.
- Attendees must be at least 21 years of age, an employee or contractor of the tourism organization and must receive income for services rendered and/or serve as a member of the organization’s governing body.
- Changes to the original registration must be submitted to Travel South Showcase in writing. Changes will not be accepted by phone.
